Free trucking dispatch software: what free really costs
There is no good, genuinely free dispatch system for a carrier running real freight. There are three kinds of free, and each one bills you somewhere else - in time, in capped records, or in a cut of every load. Here is the honest version, including where free is the right answer.
Free kind one: the spreadsheet
Nearly every carrier starts here, and for the first few months it is the correct decision. A spreadsheet costs nothing, it bends to however you work, and you already know how to use it.
What it cannot do is chase anything. It will not tell you that load 1042 was delivered eleven days ago and never invoiced. It will not put the rate confirmation and the signed POD in the same PDF as the invoice. It will not stop two loads being given the same invoice number. And it keeps the paperwork somewhere else entirely - in a text thread, in a glovebox, in a folder of photos on a phone.
If this is you right now, take the free tools and run with them: a trucking invoice template, a driver settlement template, a maintenance log and a cost per mile calculator. They are free, they are ours, and there is no sign-up.
Free kind two: the free tier
Some paid systems have a free plan. Read what it is capped at, because the cap is the product: usually a number of loads a month, one truck, one user, or no invoicing. The cap is set where a working carrier hits it, which is the point of it.
A free tier is worth using when you are hauling a handful of loads a month and genuinely do not know whether you will keep going. It is a bad place to build a year of records, because the day you outgrow it is the day you are least able to stop and move everything.
Free kind three: a cut of every load
The dispatch services that cost nothing up front take a percentage - commonly in the range of five to ten per cent of the linehaul - or they are attached to a factoring company that takes its fee on every invoice. That is not software, it is a dispatcher, and it can be a perfectly good deal when you are new and have no broker relationships.
Run the number before you sign. Eight per cent of a truck grossing $18,000 a month is $1,440 a month. The software part of that job is $39.
When free is genuinely the right answer
- You have not got your authority yet. Work through the new authority checklist first. Software is not the thing standing between you and your first load.
- You run two or three loads a month. A spreadsheet and our invoice template will hold that together fine.
- Somebody else does your billing and they already have a system they are happy with.
What the delay actually costs
The honest case against free is not features. It is the gap between delivering a load and the broker having a complete invoice in hand.
On a spreadsheet that gap is usually days: the POD is on the driver's phone, the rate con is in an email, and the invoice gets written on the weekend. Each of those days sits on top of Net 30. Four days across forty loads a year is most of a month of your own money arriving later than it had to - and a broker who gets an invoice without the POD attached does not pay it late, they do not pay it at all until you send the rest.
That is the entire argument for paying for software, and it is worth saying plainly: if your paperwork already goes out the same day, free is fine. If it does not, $39 a month buys back the days.
