MC number vs DOT number

Two numbers, asked for together, doing completely different jobs. One identifies you and your safety record. The other is permission to haul other people's freight for money. Here is the difference, and what a broker is actually checking when they ask.

The USDOT number

A USDOT number identifies the company that operates the vehicle. It is how the FMCSA tracks inspections, crashes, compliance reviews and audits - everything that becomes your safety record. It goes on the side of the truck with your legal name.

You generally need one if you run a vehicle over the weight threshold, carry enough passengers, or haul hazardous materials in quantities that require placarding - in interstate commerce. A number of states also require one for intrastate work.

The MC number

An MC number is authority. It says you may transport other people's property, for payment, across state lines. Three conditions, and all three have to be true for you to need it.

That is why the exceptions exist. A company hauling only its own products in its own trucks is a private carrier - DOT number, usually no MC authority. A carrier that never leaves its own state operates under that state's rules instead. And some commodities, famously unprocessed agricultural products, are exempt from the authority requirement even interstate - though brokers will still check everything else.

Authority is not instant. The application is followed by a vetting period, and it only goes active once your insurance filings and BOC-3 process agent are on file. Nothing moves until that happens.

What a broker is actually checking

When a broker asks for "your MC and DOT", they are pulling your record and looking at four things:

  • Is the authority active - not pending, not revoked, not involuntarily suspended for a missed filing.
  • Are the insurance filings on file for the right amounts, with your agent's filings showing against the authority.
  • What the safety record looks like - the inspection and crash history behind the DOT number.
  • How long you have been active. Some brokers and most shippers will not load a carrier under six or twelve months old, which is the single most frustrating fact of a new authority.

Keep a packet ready to send in one email: your authority letter, the certificate of insurance, your W-9, and your signed carrier packet. The carriers who get the load are frequently just the ones who answered first with complete paperwork.

Keeping both alive

  • Biennial update (MCS-150). Every two years, on a schedule set by your DOT number - whether or not anything has changed. Missing it can deactivate the number.
  • UCR, every year.
  • Insurance filings. If a policy lapses, the authority can be revoked. Your agent files it, but it is your problem.
  • Keep the address current with FMCSA, or you will miss the notice that something is about to lapse.

Everything else in the sequence, in order: the new authority checklist, and what the whole thing costs: starting a trucking company.
